
Kids Ministry Operations Coordinator
POSITION SUMMARY
The Operations Coordinator plays a key role in ensuring the smooth and effective functioning of the Kids Min Department by facilitating cross-departmental collaboration, managing internal and external communications, and serving as the go-to resource for departmental software and systems. This position provides essential support to department specialists and helps streamline day-to-day operations to ensure programs run efficiently and with excellence. The Operations Coordinator is responsible for actively living out CyLife’s mission, being a disciple maker and active member in a small group.
ESSENTIAL DUTIES & RESPONSIBILITIES
● Ensure clear and consistent communication within the Kids Min Department, across staff teams, and with external partners, including The Church.
● Drive operational efficiency by designing, implementing, and continuously improving workflows, systems, and procedures.
● Provide software support for the department, serving as the primary contact for platforms such as the website, Asana, Planning Center Online (PCO), Clearstream, and other relevant tools.
● Oversee and manage the department’s daily operations, including task coordination, process management, and workflow execution.
● Collaborate with cross-functional teams to enhance departmental tools, systems, and processes.
● Coordinate cross-departmental efforts to ensure smooth and timely execution of projects and events.
● Collect and manage departmental data, monitor key performance metrics, and prepare comprehensive reports to inform decision-making and identify areas for improvement.
● Oversee departmental materials and inventory, maintain budget and ensure resources are allocated efficiently.
QUALIFICATIONS
- Fully committed follower of Jesus Christ
- An active member of CyLife Church (or willing to transfer membership).
- Demonstrate spiritual maturity and an ability to minister to others.
- Agree and act in accordance with CyLife Church beliefs and core values
- Proven experience in operations coordination, project management, or a similar administrative role
- Exceptional organizational, time-management, and multitasking skills
- Ability to communicate effectively orally and in writing with administration, staff, volunteers, and external individuals and entities.
- Collaboration skills to work effectively across departments
- Proficiency in software tools, including but not limited to Asana, Planning Center Online (PCO), Nucleus, Clearstream, and a willingness to learn new systems quickly
- Demonstrated experience of facility management and maintenance.
- High School diploma preferred

PHYSICAL DEMANDS
· Moderate physical activity performing somewhat strenuous daily activities of an administrative/office nature.
· Medium physical activity during Sunday mornings, which involves monitoring classrooms and attending to children, volunteers, and staff.
· Must be able to lift, push, pull or carry up to 30 pounds without assistance and/or have the ability to assess the weight to ask for necessary assistance or to determine a safer method of moving the load.
WORK ENVIRONMENT
Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Typical schedule is Sunday – Thursday, as well as other times as required by the ministry workload and as directed by leadership.
